What we collect and why
Enquiries
When you complete our enquiry form we collect your name, email address, telephone number, the treatment you are interested in and any details you choose to give us about your area of concern. We use this only to respond to your enquiry and to arrange an appointment if you ask us to.
Some of this may be information about your health. Under UK data protection law health information is given extra protection as a “special category” of personal data. We handle it on the basis that it is necessary for the provision of health care and treatment (UK GDPR Article 9(2)(h)), and our general lawful basis for responding to you is that it is necessary to take steps at your request before entering into a contract, or our legitimate interest in answering enquiries (Article 6(1)(b) and 6(1)(f)).
Website use
We use Google Analytics, delivered through Google Tag Manager, to understand how visitors use the site. We also display Google reviews through a third-party review widget. These set cookies. You can accept or decline non-essential cookies using the banner shown when you first visit, and change your choice at any time by clearing your cookies.
Who we share it with
Your information is seen by the clinical and administrative team at the practice. We also use a small number of suppliers who act on our instructions and help us run the practice and this website — for example our website hosting, IT support, email and marketing suppliers. They may handle your information as part of providing that support, and they are not permitted to use it for their own purposes.
We do not sell your information, and we do not share it for advertising by other organisations. We will only disclose it beyond the above where we are required or permitted to by law.
How long we keep it
Enquiries that do not lead to treatment are kept only for as long as we need them to deal with the enquiry and any follow-up, and are then deleted. If you become a patient, your information forms part of your dental record, which we are required to retain for a longer period in line with professional and legal record-keeping obligations. Your dental records are covered by our practice records policy, which is available on request.
Your rights
You have the right to ask us for a copy of the information we hold about you, to have inaccurate information corrected, and in some circumstances to ask us to delete it or restrict how we use it. You can also object to certain uses of your information, and ask us to transfer it to another provider. To exercise any of these rights, contact us using the details above and we will respond within one month.
Complaints
If you are unhappy with how we have handled your information, please tell us first so we can put it right — see our complaints procedure. You also have the right to complain to the Information Commissioner’s Office, the UK regulator for data protection, at ico.org.uk or on 0303 123 1113.
